Information regarding the processing of selective and limited student data within the Ecoterrian School Campaign

If you wish to register for the Ecoterrians School Campaign, according to the Campaign Regulations which can always be found at https://www.ecotic.ro/scoalaecoterrienilor/ you will carry out your own activities, such as solving homework, challenges, etc., which you can record to earn points for your school. This cannot work unless you create an account on our Platform.

By creating your account, you confirm that you have discussed with the coordinating teacher who provided you with the registration code, as well as that you have discussed and obtained the consent of your parent or guardian, who has received information about the Campaign and/or discussed it with the coordinating teacher at your school. If these conditions are not met, please do not continue with the account creation and come back when the previous steps have been completed.

We are concerned with limiting as much as possible the processing of data related to your and/or your colleagues' participation in the Campaign and that is why we have imposed a series of rules, non-compliance with which may lead to de-scoring or even disqualification - we have to be so drastic because we want to ensure that we respect your personal data and privacy.

We process the aforementioned data concerning you for the purpose of running the Campaign, in accordance with your consent expressed when creating your account. We will not use your data for any subsequent offers or campaigns. If you wish to no longer participate in the Campaign, please send us or ask your parent or guardian to send us an email at dpo@ecotic.roWe will immediately delete your account and data about you, and the points you have already earned for your school will remain anonymously in your school account.

The data we may process and the rules mentioned are as follows:

• We never process your first and last name. Please do not mention your name or anyone else's name in the Messages you send to us. This can lead to deletion of materials and depunctuation.
• We need a Nickname for you to choose in order to participate in the Campaign and earn points. Please choose a Nickname as fanciful as possible, which is not related to or reminiscent of your first or last name.
• We know what school you study at (from the code from the coordinating teacher you entered to create the account) and what class you are in (education level), to know the level of activities available on the Platform and for anonymous statistical purposes, but we do not ask and please do not tell us specifically which of the classes in the school, from the respective education level, you are in (for example, we find out if you are in the 2nd grade or the 6th grade, but not if you are in the 2th grade XNUMXnd A, B, C etc.)
• For login and communication we need an email address, the password of which only you know. Please create an email address for this Campaign, which does not include information that could identify you, such as name, surname, date or year of birth, etc. The simplest would be to create an email address with the fancy Nickname chosen for the Platform.
• We may receive, from you, the coordinating teacher or others, photo/video images, recordings that illustrate the progress of the activities in the Campaign. Such images are only acceptable if the faces of minors (including yours) and/or others are not visible and are sufficiently general or taken from angles that do not allow you or another person to be uniquely identified. If we receive images that do not comply with these rules, we will blur or delete them, with appropriate punctuation.

The associated controllers of personal data within the Ecoterrienilor School Campaign are the Campaign Organizers, ECOTIC Association, with headquarters in Bucharest, 48 Turturelelor Street, Sector 3 and its correspondence headquarters in 108-112 Mihai Eminescu Street, Sector 2, Bucharest, telephone 031 805 57 43, e-mail address office@ecotic.ro, and ECOTIC BAT SRL, with its registered office and correspondence headquarters in 108-112 Mihai Eminescu Street, Sector 2, Bucharest, telephone 031 805 57 43, e-mail address office@ecotic.ro. For both Organizers, the email address of the data protection officer is dpo@ecotic.ro.

The Operators empower, based on Processing Agreements within the meaning of art. 28 GDPR, using the Standard Contractual Clauses adopted by the European Commission through Decision 915/2021, SC TRUST VISION SRL, with registered office in Bucharest, Str. Berzei, No. 9, Corp C, Ap 11, Sector 1, and office and correspondence in Bd Bucurestii Noi, No. 30, Sector 1, Unique Registration Code RO14864023, No. Reg. Com. J40/8697/2002, and DBest Qualitative Services SRL, with registered office in Mun. Constanta, Str. Brazdei, No.15b, Cam. 2, Constanta, Jud. Constanta, registered with the Trade Register Office under no. J13/1456/2021, Unique Registration Code/Fiscal Code: 44198652, for the processing of data necessary for the conduct of the Campaign, through database management. Trust Vision SRL and DBest Qualitative Services SRL do not collect, store or otherwise process the data obtained within the Campaign for any purpose other than those set by the Organizer and explained within the Regulations.

The personal data collected by completing the online registration forms are stored in electronic format and will be sent to the Organizers, without being stored in the application or in any other way by Trust Vision SRL or DBest Qualitative Services SRL after the end of the Campaign period /Project, as mentioned in the Regulation. The computers on which the data are stored are protected with a password and an anti-virus system.

At the end of the campaign period, Trust Vision will ensure the deletion or destruction of all erasable data and electronic media (e.g. notebooks and laptops, hard drives, CDs, DVDs, memory sticks USBs, tapes, disks, memory cards, etc.) after the conclusion of the processing services agreed by the contract/ for which it was authorized.

We do not apply any automated decision-making process, including profiling, in the processing of your data.

Processing by the Organizers is carried out only within the EU/EEA.

In case information about the Campaign is posted on social media networks, their rules apply, as independent data controllers. However, please note that the Organizers, if applicable, will only post images that will meet the conditions imposed, under penalty of de-scoring or disqualification, for providing images, i.e.: photos and/or video recordings limited to illustrating the Campaign, respecting the rule of not showing the faces of minors or other adults and/or in general only by using images/recordings that do not allow the unique identification of any person. Otherwise, the Organizers reserve the right to blur/delete the respective photos and remove them from the Campaign as a way of protecting the rights of the data subjects with regard to this data.

Personal data collected in the Campaign (email address, account) will be retained until December 31, 2027, after which it will be electronically destroyed (data deletion).

You and/or your parent or guardian have the right to request from us, in relation to your personal data, access to them, rectification or erasure or restriction of processing or the right to object to processing, as well as the right to data portability. You also have the right to withdraw your consent to the processing of your personal data at any time. Unfortunately, in such a case you will no longer be able to participate in the Project, given that we would not be able to identify you and contact you for or record your contribution to the activities within the Project. You and/or your parent or guardian can exercise any of these rights by contacting the data protection officer within ECOTIC and ECOTIC BAT at dpo@ecotic.ro. If you consider that the legislation in force regarding the protection of personal data is not respected in this processing, you have the right to file a complaint with the National Authority for the Supervision of Personal Data Processing (www.dataprotection.ro).
